Count barista, counter and owner logins. Check the menu's sizes and extras on the tablet or phone you intend to use; a printer is optional and compatibility-specific.
Choose by staff logins: the annual software subscription is not a charge per transaction, table, bottle or event. More than 60 staff or additional locations need a confirmed quote.
What the subscription covers
Capture counter orders with configured sizes and modifiers, use recipes for beans, milk and syrups, take payments, and review stock and the daily close.
The core POS, menu and recipe stock, purchasing, staff/payroll records, customer records and operating reports are included. AI actions have allowances and paid top-ups; WhatsApp provider/message charges, extra locations and optional hardware are not an unlimited free bundle. Confirm these extras against your configuration.
Hardware, connectivity and other operating costs
Use a phone, tablet or laptop browser; no dedicated POS machine is required. Devices, compatible printers, paper, internet/data and power remain separate costs. Standard M-Pesa/provider charges still apply. Offline order capture is not offline STK Push or confirmed eTIMS submission.
Recipe accuracy depends on recorded quantities and correctly configured modifiers. Do not assume a changed milk option automatically has the right stock recipe; test the configuration.
What to test before committing
Illustrative only: 18 g coffee at KES 1,200/kg costs KES 21.60; 200 ml milk at KES 100/litre costs KES 20; a KES 8 cup makes KES 49.60. An extra 9 g shot adds KES 10.80. At KES 200, base ingredient/packaging cost is 24.8%, excluding labour and utilities.
- Test sizes, milk options, extra shots and kitchen tickets.
- Count beans and milk; record waste rather than treating it as sales.
- Compare cash counted with recorded cash and verified M-Pesa.
- Review discounts and unresolved orders before counter close.
