How to reconcile cash and M-Pesa in a restaurant

Closing a restaurant should not end with three people scrolling through M-Pesa messages and trying to remember who paid cash. A proper cash-up is a short comparison: what the POS says you sold, what M-Pesa actually confirmed, and what is physically in the drawer. Here is a simple way to do it every day.

The three numbers that must agree

Start with the sales total recorded by the POS. Split it by payment method: cash, M-Pesa, card and any genuine credit sales. Then compare the cash portion with the money in the drawer and the M-Pesa portion with confirmed payments.

Do not compare one combined number with a pile of money and messages. You need to know which payment method is short, and which shift or staff member handled it.

  • Recorded cash sales should match physical cash, after accounting for an opening float and approved cash expenses.
  • Recorded M-Pesa sales should match confirmed M-Pesa payments attached to restaurant orders.
  • Card sales should match the terminal or provider settlement report.
  • Credit sales should remain outstanding, not be counted as money received.

A simple worked example

Suppose the POS shows KES 84,500 in sales: KES 31,000 cash, KES 49,500 M-Pesa and KES 4,000 credit. The drawer started with a KES 3,000 float, so it should contain KES 34,000 before approved expenses are removed. M-Pesa should show KES 49,500 in confirmed order payments. The KES 4,000 credit is a receivable, not part of today's cash.

If the drawer contains KES 32,800, the cash side is KES 1,200 short. You can now review cash orders, expenses, discounts and handovers instead of vaguely saying the whole day does not balance.

Match M-Pesa to the bill, not just the phone message

A payment message proves money moved, but it does not always prove which table, waiter or bill it belongs to. Manual matching gets harder during a rush, especially when customers pay from a different number or split one bill.

The cleaner workflow is to request M-Pesa from the bill and keep the provider confirmation attached to that order. Then the close-of-day check becomes a review of exceptions rather than a hunt through messages.

Investigate differences while the shift is fresh

A small difference does not automatically mean theft. It may be an unrecorded petty-cash expense, the wrong payment method, change given incorrectly, a duplicated entry or a payment still awaiting verification.

Ask the staff member who handled the transaction on the same day. Record the reason and correction. Waiting until month-end turns a clear event into a guess.

  • Check whether a cash order was marked as M-Pesa, or the other way round.
  • Confirm every cash expense has a reason and receipt.
  • Review voids, discounts and reopened bills.
  • Keep uncertain M-Pesa payments pending until they are verified; do not force them through just to make the report balance.

Use the same close every day

Consistency matters more than a complicated spreadsheet. Close each shift with the same person responsible, the same payment breakdown and a signed explanation for any difference. Over time, recurring shortages and training gaps become easy to see.

The owner should receive a short summary: total sales, sales by payment method, cash expected, cash counted, difference, unresolved payments and the person who closed the shift.
